PROJECT OVERVIEW

Keep event operations useful for the next edition.

T-SCORE helps event organizers manage schedules, participants, on-site operations, results, rights, sponsorship, and reporting by event. Organizers can pass appropriate information to participants and sponsors through shared links or documents and reuse verified records in later operations.

THE PROJECT CONTEXT

Operations are difficult to hand over when they live in people’s memories.

Schedules, participant information, results, images, billing, rights, and sponsorship details often end up in separate files and chats. Each staff change or external report then triggers another round of manual checking.

Help organizers structure plans, participation conditions, responsibilities, rights, and publication scope for each event. Record changes to schedules, matches, performances, registration, and staffing; then provide verified information to participants, sponsors, communications teams, and other people who need it.

OPERATING CONTEXT

Why the workflow matters

These points describe operating context and information needs; they are not claims of project outcomes.

  • When schedules, participants, results, images, billing, and sponsorship information are stored separately, teams repeatedly reconstruct the event record.
  • Volunteer and staff turnover can make operations depend on the previous coordinator’s memory and personal spreadsheets.
  • Images, video, logos, music, performers, venues, and sponsorship placements may require rights and usage checks before publication.
  • More people can take part in sport and events when records and operating information can be handed to the people who need them.

HOW THE WORK FLOWS

A sequence participants can follow

  1. 01The organizing committee assigns responsibility for each activity and event.
  2. 02Activity owners record purpose, dates, venue, participation conditions, budget, and publication scope.
  3. 03Plans are broken into event-day schedules, matches, performances, registration, and staffing.
  4. 04Field staff update status, records, safety checks, and changes as the event proceeds.
  5. 05Verified records and usage conditions are prepared for sharing, contracts, invoices, and reports.
  6. 06The organizer retains sharing scope and delivery history for reporting and future handover.

SOOO'S IMPLEMENTATION ROLE

Implement the agreed operating policy as a workflow participants can use.

SOOO structures event work so staff can hand off, review, and reuse records after an event. Organizers and rights holders remain responsible for event policy, sponsorship terms, and publication decisions.

  • Organize committees, activities, plans, events, and field operations with clear owners and approvers.
  • Connect schedules, participants, event status, records, and change history by event.
  • Track rights requests, usage conditions, deadlines, and publication scope for each asset.
  • Support review of results, performances, and event records before publication.
  • Prepare audience-specific links, documents, invoices, and reports with a record of what was shared.
